You invite each person by email, with their roles and the locations they work at, and everyone sees and does only their part. From the same dashboard you plan each location's week of shifts.

**Short answer:** In Restoman everyone signs in with their own email and holds one or more roles (Owner, Admin, Accountant, Manager, Cashier, Kitchen, Waiter or Staff, or a custom role of your own) at the locations you assign. Shifts are planned per location and per week, and Restoman flags a person who would end up with two shifts at the same time. Every change is recorded in the business's activity log.

## 01. Everyone with their role and their locations

Nobody shares a password: each person signs in with their email and a code. What they see and what they can do comes from their roles and the locations they work at.

- **Invite by email.** In "Team", "Invite": the email, one or more roles and the locations. The invitation lasts 7 days, and a new one to the same email replaces it.
- **Ready-made roles.** Owner, Admin, Accountant, Manager, Cashier, Kitchen, Waiter and Staff come built in. Someone with more than one gets the permissions of all of them.
- **Every location or just some.** A person can reach every location, including ones you open later, or only the ones you assign.

## 02. Custom roles, with clear rules

For a job no role covers, like a bartender, you create a custom role and check its permissions. A few things always stay with the owner.

- **A permission matrix.** Each permission applies across the business or at the locations the person works at. You can only grant permissions you hold yourself.
- **People, roles and locations.** Only the owner and admins manage those: they can't go into a custom role, and only the owner makes someone an admin.
- **Transfer ownership.** There's one owner. To hand the business to someone on the team, you send a proposal they accept by email; the previous owner stays on as an admin.
- **The activity log.** Invitations, role changes, departures and transfers are recorded with who did it and when, including anything Restoman support did.

## 03. Each location's week of shifts

In "Shifts", each row is a person and each column a day, Monday to Sunday, with today highlighted. The owner, admins and the manager plan them; the location's team can see them.

- **Shifts past midnight.** 7:00 PM to 1:00 AM goes in as is: the shift counts for the day it starts.
- **No overlapping shifts.** A person can't have two shifts at the same time, at that location or any other in the business.
- **Copy last week.** In an empty week, one tap copies the week before, skipping anyone who no longer works there and shifts that would overlap.
- **The days you're closed.** Going by the location's hours, a day without service says "Closed". It's a hint: you can still add a shift, for a stocktake say.

## And also

- **Their own email.** No shared passwords: each person signs in with a code.
- **Only their part.** Their roles and locations decide what they see and can do.
- **A week per location.** Who works each day, with shifts that run past midnight.
- **All on record.** Every team change lands in the business's activity log.

## Frequently asked questions

### How do I add someone to the team?

With "Invite" in "Team": they get an email with a link, sign in with that email and accept. The invitation expires after 7 days if they don't.

### Can I create a role that isn't on the list?

Yes, up to 20 custom roles per business, with the permissions you choose. People, roles, locations and the business's details stay with the owner and admins.

### How do I hand the business over to someone else?

The owner sends a transfer proposal to someone already in the business. They accept it from the email within 72 hours, and the previous owner stays on as an admin.

### Who plans the shifts and who can see them?

The owner, admins and the location's manager plan them. The whole location's team can see them: cashiers, waiters, the kitchen, and the accountant too.

### What happens to the shifts of someone who leaves?

Their shifts that haven't started yet are deleted. The ones they already worked stay on the grid, marked as someone no longer with the business.

### Does Restoman track clocking in and out?

Not yet: shifts are the week's plan. Clocking in and out is coming later.
